Meeting Minutes 12.11.23

Here are the meeting minutes from last nights meeting. Please remember that it is required per our bylaws for every team to have at least one representative at these meetings. Even if your team isn’t in season. We have lots of information to share and decisions to make that affect everyone, and we all miss out when teams don’t know what’s going on.

Agenda items


Panda Express Fundraiser- recent Panda Express fundraisers for clubs have been cancelled due to staffing issues and disorganization at Panda Express. Events may be canceled by Panda at the last minute.

GGBC is looking into booking a Red Robin fundraiser at the Smokey Point location. Once this is booked and finalized, the GGBC will earn a percentage of profits sold during operational hours for dine in and take out orders when it is noted that your purchase is to support the GGBC. Please stay tuned for more information upcoming.


Secretary Co-Chair position is open- 1 of the 2 co-chair positions for the GGBC Secretary is open as Karensa had to step down due to other commitments. If you are interested in stepping up into this role, please contact one of the GGBC board members. The Secretary position takes notes at meetings to be submitted for posting on FB and are shared with coaches.

Auction Notes

The GGBC annual auction will be held at the Mill in Lake Stevens on March 23rd. Event names were discussed and “An Evening for Green & Gold” was chosen for this years theme. The event will be a catered event with Italian food buffet options. Each club will need to organize a donation of a minimum of 1 basket item for the auction. Procurement of auction items small (such as gift cards for games) to large (experiences or big ticket items for the live auction) and everything in between are needed. Auction items will need to be submitted by a cut off date to be determined in March. Future auction meetings will follow scheduled GGBC meetings in January, February, and March with additional meetings added as needed.


Ticket prices and additional ideas for the event (theme, attire, food choices, beverages to be offered, etc.) were discussed and will be on the agenda for the January meeting to be finalized. Discussed how the kids might be involved or show cased during the event in some way such as a picture slide show showing the kids representing the different clubs, talking about how their club makes a difference in their lives, the band playing, cheer leaders demonstrating a cheer, etc. Another idea included contacting alumni to speak in person about how their club made a positive impact on their lives. Coaches or others (parents, teachers, etc.) could also speak to the importance of the different clubs, sports, band, and programs offered.


Discussed some small games at the start of the event to get participants having fun and involved, different options for the service of beverages, online auction platform through Give Butter, and a tiered progression of lower to higher costing items closing throughout the night as well as some items being live auction only.


Please spread the word to your club members that donations, help, and ticket sales will be needed to support our program for this event.
